How do I reduce no-shows at my clinic?
Four things work: reminders a patient can reply to, rescheduling that takes one tap instead of a phone call, a waitlist that backfills the gap when someone cancels, and a follow-up for every no-show so the appointment moves instead of vanishing. Clinics that do all four turn most would-be no-shows into reschedules.
Make the reminder a conversation
A one-way reminder tells. A two-way reminder asks, and a patient who replies CHANGE at 9pm needs a system that actually handles the change. If replying to your reminder goes nowhere, patients learn the reminder is decoration.
Lower the cost of rescheduling
Most no-shows are not rudeness, they are friction. The patient knew they could not make it and calling felt like a chore. One-tap rescheduling turns that into a kept appointment at a different time.
Backfill with the waitlist
A cancellation two hours out is only lost revenue if nobody works the waitlist. An automated offer to the next waiting patient fills gaps a front desk never could at that speed.
Follow up the no-show, kindly
The no-show who never hears from you becomes a lapsed patient. A same-day message that assumes good faith usually rebooks them, and it is the front end of reactivation.
Quick answers
Do no-show fees work?
They reduce no-shows and also reduce goodwill. Try friction-removal first; keep fees for repeat offenders, clearly disclosed.
What no-show rate is normal?
It varies by discipline and demographic, which is why your own baseline matters more than a benchmark. Measure yours for a month, then change one thing at a time.
