How do I automate my clinic with AI?

Automate in this order: first the phone and messages you miss, then the patients who quietly stop rebooking, then the reminders and follow-ups your team types by hand, and last the checking of outbound marketing. Each step pays for the next, and none of them replaces a clinician.

For most Australian clinics on Cliniko, Nookal or PracSuite, the whole stack is two or three tools and under $500 a month. The trap is buying a tool for step one and never getting to step two, because step two, re-engagement, is usually worth the most.

Step 1: stop missing enquiries

Every missed call during treatment hours is a patient who may book elsewhere. An AI receptionist answers the phone, texts and web chat around the clock and books straight into your practice software. This is the most mature category of clinic AI, with a dozen tools in the Cliniko ecosystem alone.

What to check before buying: does it book into your actual practice system, does it hand off to a human cleanly, and can you read a record of every conversation afterwards.

Step 2: re-engage the patients you already have

New patients are harder to win. Your existing ones aren't. Every practice system has a report of patients who are overdue to rebook. Almost nobody works it, because writing dozens of personal follow-ups is slow. This is the highest-value automation in the building: a system that reads the rebooking report and sends each lapsed patient a personal message.

This is the half Routiq was built for. Robyn works the report and writes the follow-ups; the diary refills from people who already trust you.

Step 3: reminders and confirmations

Appointment reminders and attendance confirmations quietly fight no-shows. Most practice systems have basic reminders built in. The upgrade is two-way: a reminder a patient can reply to, and a system that actually handles the reply.

Step 4: check what goes out, before it goes out

Australian clinics advertise under AHPRA rules: no testimonials, no misleading claims, care with before-and-afters. Automating more messages means more chances to get wording wrong at scale. Put a check between the draft and the send. Abby does this against published AHPRA advertising guidance. It is not legal advice, it is a fast second set of eyes.

What not to automate

Clinical judgement, complaints, and anything where a patient is distressed. Good clinic AI knows when to hand a human the phone. If a tool cannot show you its handoff behaviour, keep shopping.

Quick answers

What should a clinic automate first?

Missed calls and messages. It is the cheapest win and every tool in the category does it. But budget for re-engagement next, because that is where the revenue usually is.

How much does clinic AI cost in Australia?

Single-purpose AI receptionists commonly run from a few hundred dollars a month, and one 2026 industry pricing guide puts fully integrated setups at $750 to $1,500 a month plus setup fees. Routiq is $199 per location per month with reception, re-engagement and AHPRA-aware checking included, no setup fees.

Will AI reception upset my patients?

Patients mostly care that someone answers and the booking is right. Watch the handoff quality: the AI should pass a human the moment it is out of depth.
