An AI receptionist that actually books into Cliniko
By Daniel Welsh, Founder, Routiq · Last updated 10 July 2026
Most tools sold as 'AI receptionists' take a message and email it to your front desk — which means the booking still hasn't happened. Robyn is Cliniko-native: she reads your real availability, books and reschedules patients directly into the Cliniko calendar, and logs the conversation — so your team opens the day to finished work, not a message queue.
Routiq is an official Cliniko connected app, and Cliniko is where the integration runs deepest. This page covers exactly what that means in practice.
Message-takers vs booking agents
The difference between the two is the difference between 'someone called' and 'someone booked'. A message-taker leaves your team a task; a booking agent completes it. Depth of PMS integration is the whole game — it's the first thing to test in any demo, on your own calendar.
What Robyn does inside Cliniko
She looks up live availability across practitioners and appointment types, creates and reschedules appointments, matches callers to existing patient records, and writes the conversation back so there's a full trail. Booking rules — who sees new patients, buffer times, which appointment types can be booked without a human — are configured with you at onboarding, and anything outside them goes to your team rather than being guessed.
Reception keeps using Cliniko exactly as before. Robyn works alongside — there's no new calendar to manage and no double-entry.
Recalls from real appointment data
Because she reads appointment recency directly from Cliniko, Robyn notices who's due back and who's quietly lapsed — no CSV exports, no manual list-building. She then works that list with sequenced, care-framed messages and books the responders straight back in.
One thing most vendors won't tell you: recall messages that promote new bookings are advertising under section 133 of the National Law. Robyn's wording is compliant by design — clinic identification, opt-out, no testimonials, no outcome promises — the same rules engine behind Abby, our free post checker. Is Routiq an official Cliniko integration?
Yes — Routiq is a Cliniko connected app. The integration reads availability and writes bookings through Cliniko's API rather than screen-scraping or manual entry.
Can Robyn double-book or book the wrong practitioner?
She books from live availability using rules you set — practitioner, appointment type, buffers. Anything that doesn't fit the rules is handed to your team instead of guessed.
Does my front desk have to change how they use Cliniko?
No. Robyn works alongside your existing workflow; your team sees her bookings and conversation logs, and Cliniko stays the source of truth.
What about patient privacy?
Appointment and contact data is health information — sensitive information under the Privacy Act — and is handled accordingly. Ask us for the privacy documentation; it's the right question to ask any vendor.
What does it cost?
$199 per location per month, or $159/mo billed annually, plus $1.50 per call and 10c per message segment. Reception, re-engagement, the AI note-taker and the Cliniko integration are all included.
