How much do no-shows cost my clinic each year?

Weekly no-shows times average visit value times 48 working weeks, minus whatever you currently recover by refilling slots. A clinic with 6 no-shows a week at $90 a visit is exposed to about $26,000 a year before recovery. The number that changes the story is the recovery rate: how many no-shown slots get refilled and how many no-showed patients get followed up the same day.

Count what actually happens

Your practice system can report no-shows and late cancellations for the last quarter. Split them: late cancellations with notice can be backfilled from a waitlist; true no-shows cost the slot and, handled badly, the patient. Use a quarter of real data rather than a bad week or a good one.

The second cost nobody prices

A no-show who hears nothing often becomes a lapsed patient, and then the cost is not one slot, it is the rest of their course of care. The same-day kind follow-up (the method here) is the cheapest insurance in the building.

Compare against the fix, honestly

Two-way reminders, one-tap rescheduling and waitlist backfill each shave the number; together they usually cut it substantially. Price the tools against your own annual exposure figure, not against a vendor's promised percentage. If your exposure is small, congratulations, skip the tools.
