How to connect PracSuite to Routiq.
Connect PracSuite to Routiq so Robyn can read your live diary, offer real times and book directly into PracSuite. Here is the full setup.
Before you start.
About 15 minutes, start to finish. You'll need:
- A PracSuite account with access to Settings then Integrations, so you can generate a client key.
- A Routiq account. If you do not have one yet, start the 7-day free trial: nothing to pay for 7 days, card up front and charged on day 8, cancel any time before then.

Sign in to Routiq by SMS
On your computer or phone, go to robyn.routiq.ai/sign-in/mobile and enter your mobile number. We'll text you a 6-digit code, no password needed. New to Routiq? Start your free trial at robyn.routiq.ai/sign-up instead. You will land on your Routiq dashboard, where you provide your PracSuite key in the last step.
Enable API integrations in PracSuite
In PracSuite, go to Settings then Integrations then API. Switch on Enable API Integrations, then choose Add. PracSuite generates a client key. Access needs two keys working together: the client key you generate here, and a vendor key that Smartsoft issues to authorised developers like Routiq.
Keep your client key secure. It grants access to your clinic's data and can be revoked at any time.

Each PracSuite key defines which types of information it can access, so a brand new key can be valid and still read nothing. On the same API screen, give the key the access Routiq lists under its key field: Appointment Data, write, so Robyn can book, move and cancel; Patient Data, read; and System Data, read. Billing items, read, is optional and usually under Financial Data.
If Routiq tells you the key has no API permissions yet, this is the step to come back to. The key itself is fine, it just has not been given anything to read. If you cannot see the permission options on your login, PracSuite support can enable them for you.
Give the client key to Routiq
In Routiq, open Integrations then PracSuite, paste the client key into Your PracSuite API key and press Connect PracSuite. Routiq already holds the Smartsoft vendor key as an authorised developer, so once both keys are present PracSuite grants access and Robyn can read the diary.
Confirm your locations and go live
Map the locations, services and practitioners Robyn should offer. Most clinics are live the same day, and the 7-day free trial lets your team watch it work on real enquiries first.
What the key needs, and what stays off
Give the key the access Routiq lists under its key field. Billing items are optional. The rest is what Robyn needs to read your diary, book, and work out who is due back.
Turn on
- Appointment Data, writeSo Robyn can book, move and cancel, within the rules you set.
- Patient Data, readYour patients, so Robyn knows who she is talking to and who is due back.
- System Data, readYour businesses and practitioners, so Robyn knows who works where.
- Billing items, read (optional)Usually under Financial Data. It lets Robyn quote your prices. Routiq only reads the fee list, never invoices or payments.
Leave off
- Clinical DataClinical notes and memos.
- Contact DataPayers, referrers and organisations.
- If the key can't read billing items, the PracSuite card in Routiq says "Prices hidden." and shows the fix. Prices come through on the next import.
- You can change or revoke these permissions in PracSuite at any time.
Once you're connected.
Robyn gets to work, and PracSuite stays the source of truth.
- Robyn answers patient texts, offering real times from your PracSuite diary and booking straight in. Calls go to her voice line, which takes a message and texts back.
- She works your rebooking report, writing follow-ups for patients due back and booking responders into PracSuite.
- Robyn checks every outbound message against AHPRA advertising guidance before it leaves. You make the final call.
